The pipeline tracks every buyer opportunity from first contact to purchase order, across all clients. Use it to move deals forward, record what happened, and control what clients can see.
Stages and statuses#
Every opportunity sits in one stage and has one status. The stages run in this order:

Views#
Open Pipeline and choose Board, Table or Buyers at the top.
Board
The board has one column per stage, headed by the number of deals and their weighted value, which is the deal value adjusted by close probability. Each card shows how many days have passed since the last activity. The status filter starts on open deals.
To move a deal, drag its card to any other column, forward or back. A Confirm stage advance box appears. Add a note if you like, then confirm.
Table
The table lists every opportunity. Filter by Client, Stage, Status and Owner, or turn on Stuck only. Clear filters resets them.
To update several deals at once, tick their rows, then set a New owner or New due date and select Apply to selected. On the keyboard, j and k move between rows, Enter opens the drawer, and Esc closes it.
Buyers
Buyers is the Buyer asset library. Select New buyer to add one. A buyer record holds the name, country, type, contact person, profile, purchasing power, historical interest, suppliers seen, cumulative volume, transacted or reorder history, and whether they need a second supplier.
Tags are visible to clients. Add up to 8, each 24 characters or fewer.
Creating an opportunity#
- Select New opportunity.
- Choose the Client and the Buyer.
- Enter the Product, the Stage, the Expected date, the Potential order and the Close probability (0 to 100, required).
- Fill in the Next step plan: the action, an owner (Medical3, Client or Joint) and a due date.
- Add the Latest activity.
- Select Create opportunity.
Buyers marked Do not contact are listed with that label and cannot be added to a new opportunity.
The opportunity drawer#
Select any deal, from the board, table, Today or the command palette, to open its drawer. It has five sections:
- Summary & next step: edit the next step, Owner, Due date, Stuck point, Close probability, Status, Product, Expected date and Potential order. Edits save in place.
- Actions: Advance stage and Introduce buyer.
- Timeline: every logged activity and stage change.
- Evidence: supporting records for the deal.
- Log activity: add a Kind (Call, Email, Meeting, Note or Reply), a Summary and a date, then select Log.
Record each touchpoint as it happens. Clear next steps and stuck points keep Today accurate.
Advancing a stage#
- Open the drawer and choose the Next stage. It starts on the following stage, but you can pick any stage, including an earlier one.
- Select Advance stage. The button turns into Confirm advance, and a note field appears.
- Add an optional note, then select Confirm advance.
Dragging a card on the board does the same thing. Write a short note explaining why the deal moved.
A deal at PO shows "Already at the final stage" in the drawer. To move it back, drag its card to another column on the board.
Introducing a buyer#
Clients see buyers as masked until you formally introduce them. The client's dashboard shows Unlocks after introduction instead of the name.
- Open the drawer and go to Actions. Introduce buyer only appears while the buyer is still masked.
- Select Introduce buyer. The button turns into Confirm introduce, and a warning appears.
- Read the warning, then select Confirm introduce.
Important: Introducing is permanent and you cannot undo it. It records the introduction, and the client sees the buyer's real identity once disclosure is enabled for their engagement. The button is disabled for buyers flagged Do not contact.
Evidence#
Evidence records why a deal is where it is, for example a first introduction, meeting notes, a demo agreement, a quotation, a PO or a reorder. In the drawer, open Evidence and use the Add evidence form. Pick a Kind, enter a Label such as "Quotation v2 sent", set the Date, and choose the Visibility:

Choose Internal only unless the client should see the item. Evidence also supports billing; see Money.
Do-not-contact buyers#
Some buyers ask not to be approached. In the buyer record, turn on Do not contact. It saves at once. A flagged buyer cannot be added to a new opportunity or introduced to a client. The flag is internal and is never shown to clients. More on contact rules in Safety rules.
