Money covers what clients owe and what has been paid. Staff follow cash on the read-only Money page, and administrators move milestones and invoices forward from each client's Money tab.
The Money page#
Open Money in the sidebar. It is read-only and gives you invoiced, unpaid and overdue balances at a glance. It has these parts:
| Part | What it shows |
|---|---|
| Cash overview | MRR, Project fees, Success-fee pipeline, Invoiced, unpaid and Overdue totals, plus the amount invoiced in each of the last six months. |
| Milestones awaiting invoicing | Milestones that are triggered but not yet invoiced (a draft invoice still counts as awaiting), with the trigger date. |
| All invoices | Every invoice. Search by text, filter by status, and page through 25 at a time. |
| Contracts expiring | Contracts ending within 30, 60 or 90 days. |
| Attribution & evidence | Evidence for billable milestones, with the related fee terms. |
You cannot change anything on this page. To act, open the client and go to its Money tab.
Who can do what#
| Action | Ops | Administrator |
|---|---|---|
| View the Money page and each client's Money tab | Yes | Yes |
| Create and trigger milestones | No | Yes |
| Draft, issue, mark paid, mark overdue and void invoices | No | Yes |
When you are Ops, New milestone and New invoice are hidden on the client's Money tab, and the action buttons on each row are replaced by Requires admin access. Ask an administrator to carry out the step.
Creating a milestone#
A milestone is a billable event on one opportunity, such as a quotation, a PO or a reorder.
- Open the client and go to Money. The section is titled Commercial milestones & fees.
- Select New milestone.
- Choose the Opportunity.
- Choose the Kind: Demo, Evaluation, Quotation, PO or Reorder.
- Optionally enter the Order value (USD) and the Fee (CNY).
- Select Create milestone.
The new milestone starts as pending. The client can see it on their dashboard straight away, so create it only for an agreed event.
Triggering a milestone#
Trigger a milestone when the event has really happened and the evidence supports it.
- Find the milestone and select Trigger.
- The button changes to Confirm trigger. Read the note that appears, then select it.
The milestone now waits for an invoice. It also appears on Today, where Action needed reads Ready to invoice. Triggering does not bill the client.
Drafting and issuing an invoice#
- On a triggered milestone, select Draft invoice.
- Check the Amount (CNY), choose the Invoice kind (Monthly, Project, Milestone or Success fee) and set the Due date.
- Select Create draft.
- Review the draft in the Invoices list. A milestone with a draft shows Draft invoice already generated.
- Select Issue, then Confirm issue.
Important: The amount is fixed when you create the draft, and an invoice cannot be edited afterwards, so check it first. Issuing assigns the invoice number and the issue date. The client sees the invoice in their dashboard from then on, until it is voided.
Tracking payment#
Issued invoices have the status Invoiced. Update them as money arrives:
| From status | Action | Result |
|---|---|---|
| Invoiced | Mark paid | Paid |
| Invoiced | Mark overdue | Overdue |
| Overdue | Mark paid | Paid |
Keep statuses current. The cash figures on Today and Money depend on them.
Voiding an invoice#
Use Void for an invoice raised by mistake. It is available on invoices in Draft or Invoiced status.
- Select Void.
- Select Confirm void.
Important: Voiding takes effect immediately and cannot be undone. A milestone can have only one invoice, and a voided invoice still counts as that invoice. To bill again, open the client's Money tab and create a standalone invoice with New invoice.
Trigger, Issue and Void use a two-click safeguard: the first click arms the button and the second click performs the action. Mark paid, Mark overdue, creating a milestone and creating a draft take one click. See Admin for how arm-then-confirm works, and Safety rules for the full list of steps that cannot be undone.
