Getting started

Medical3 gives your team and your clients one place to follow overseas sales work. This page shows you how to get access, sign in, and find your way around on the first day.

Who uses Medical3#

Every account has one of three roles. Your role decides which areas you can open.

RoleBadgeWhat you can reach
ClientnoneYour own client dashboard, read-only.
Staff: OpsOpsThe console: Today, Clients, Workspaces, Pipeline, Money, Analytics, Leads and Docs.
Staff: AdministratorAdministratorEverything Ops can reach, plus the Admin section, creating workspaces, and invoicing actions.

Clients who try to open the console are sent back to their dashboard. Staff see a badge next to their name at the bottom of the sidebar, with a Settings link below it.

Note: Access inside a workspace is separate from your role. Workspace roles are covered in Workspaces.

Getting access#

There is no self-service sign-up. An administrator creates your account and gives you a one-time setup link, usually by email.

  1. Open the setup link from your email or message. The page is titled Set your password.
  2. Enter a New password and repeat it under Confirm new password. Select Show passwords to check what you typed.
  3. Select Set password.
  4. When Password set appears, select Sign in and use your email address and the new password.

Password rules

Your password needs all of the following:

  • At least 8 characters.
  • An uppercase letter and a lowercase letter.
  • A number.
  • A special character.
  • At most 72 bytes. Accented and non-Latin characters take more than one byte each.

Link lifetimes

Link typeValid for
Invite link, for a new account72 hours
Password reset link24 hours

Each link works once. A newer link replaces any older one. Issuing a new link also signs you out everywhere and stops your current password from working.

Note: The page removes the link from the address bar as soon as it opens. If you reload it or open it in another browser, you see Open your link again. Open the link from your email once more.

If the link does not work

MessageMeaning

This link has already been usedA link works once. If you just set your password, sign in with it.
This link doesn't workThe link may be incomplete, for example cut off when copied.

For the first three messages, ask your Medical3 account manager for a new link.

Signing in#

  1. Go to the sign-in page. It says Welcome back.
  2. Enter your Email address and Password.
  3. Select Remember me if this is your own device.
  4. Select Sign in.

Continue with Google signs in accounts that already exist. If the Google account has no matching Medical3 account, you see "This Google account has no access yet." Ask an administrator to create your account first.

If you see Invalid email or password, check both fields and try again. After more than 10 attempts in 15 minutes you see Too many login attempts. Please try again later. Wait and retry. A disabled account shows This account has been disabled. Contact your administrator.

There is no self-service password reset. If you forget your password, contact your Medical3 account manager. They ask an administrator to send you a reset link.

Sessions and signing out#

A session lasts 7 days, or 30 days with Remember me. Your session ends immediately, and you return to the sign-in page, when an administrator:

  • Suspends your account.
  • Selects Sign out everywhere for you.
  • Issues you a new setup link.
  • Changes your sign-in email.

To sign out yourself, select Log out. In the console it sits at the bottom of the sidebar. On the client dashboard it is at the top of the page, or under the Account menu on a phone.

Where you land#

After you sign in, staff arrive on Today, the console home page. Clients arrive on their dashboard. If you open a page while signed out, Medical3 asks you to sign in and then takes you back to that page.

Your first sign-in#

A short guided tour points out the main areas. It starts the first time you open Today (staff) or your dashboard (clients). Administrators also get an admin tour the first time they open Admin. Use the arrow keys or Next and Back to move through it, or select Skip tour.

The ? button in the top bar is always available:

  • Take the tour replays the tour for the area you are in. Administrators on admin pages get the admin tour.
  • Show getting started brings back the Getting started checklist. Staff only.
  • Documentation opens the guide for the area you are in, in a new tab, so you keep your place. Staff get the console guides, including the Admin portal guide on admin pages. Clients get the client dashboard guide. A page with no guide of its own opens the guides index.
  • Runbooks opens the staff runbooks in a new tab. Staff only.

Staff also see a Getting started checklist on Today. It ticks items off on its own as you do real work:

  • Get added to a workspace (or, for administrators, create or join one).
  • Create a campaign in a workspace.
  • Log an activity on a client or opportunity.
  • Create an opportunity or move one to a new stage.
  • Administrators only: create a user for a teammate or client.

Select × (Dismiss getting started) to hide it. Clients get a shorter tour of their dashboard and the same ? button.

Your settings#

Clients open Settings from the top of the dashboard, or from the Account menu on a phone. It has these tabs: Profile, Account, Notifications, Email, Language & Region and Appearance.

  • For clients and Ops staff, your sign-in email is managed by Medical3. To change it, contact your Medical3 account manager. Administrators can change their own sign-in email here.
  • Changing your password signs you out. Sign in again with the new password.
  • The Email tab is a personal sender setting. It is not where workspace mailboxes are connected; see Workspaces.

Staff open Settings from the bottom of the console sidebar and can change their own password there. If you are locked out or have forgotten it, ask an administrator to send you a reset link.

Languages#

Medical3 is available in English, Simplified Chinese, Spanish, French, German and Japanese. To switch, open Settings, go to Language & Region, and choose a language under Select Language. Setup emails arrive in English followed by Simplified Chinese. Text that people enter, such as notes and campaign messages, is shown as written.

Next, read Console for the staff workspace or Customer dashboard if you are a client. Common problems are in the FAQ.
